How to resolve when Shareholders are not appearing under the Main Profile

(Note: The guidance below relates to Corporate Messenger accounts with Managing Transactions module activated)

Question

Why are none of the Shareholders appearing under the Main Company Profile? How can this be resolved?

Answer

The most common reason is that the original allotment of shares transaction has been deleted by a user. A way to check if this is the cause is to navigate to Menu > Corporate Messenger > Companies > Company Profile > Share Summary.

If the Shareholder is appearing, select the blue plus to expand and view their transactions.

If there are no transactions appearing this means the transactions have been deleted.

Another place to check within the Company Profile is the Share Transactions page.

All transactions and transaction changes are recorded within this page. Scroll down to the Share Details Change Log to view the changes made.

Steps to resolve

If you have determined the cause as outlined above, please follow the resolution steps below.

Note: Before proceeding with the following steps it is recommended to order a Current Statement.

Important: if there is a balance transaction appearing with 0 amounts follow the steps in How to edit a Transaction to resolve the issue.

Add Shareholding Details

1. Within the Company Profile navigate to the Share Summary page.

2. Have the Current Statement open and select "Add New Shareholder"

3. Fill in the below fields:

Date of Entry

The Date of Entry is the date the Member is entered into the Company's Register of Members.

Shareholder Type

Corporate

  • Country of Registration
  • Company ACN
  • Company Name
  • Registered Address

Individual or Joint Individuals

  • First, Middle and Last Names
  • Residential Address

Add Shareholding Details

Date

This is the date this transaction took place, when adding a balance transaction this is commonly the same as the Date of Entry.

Transaction Type

When adding the initial transaction the two transaction types are Issue and Balance.

Share Class

This is the class of shares that the Shareholder holds. Click here to read more.

Number of Shares

The number of shares that the Shareholder holds.

Total Amount Paid

The total amount paid for the number of shares held.

Projected Amount Paid Per Share

When entering the total amount paid this field will automatically show what the projected price paid per share is based on the total amount paid and number of shares.

Total Amount Unpaid

The total amount unpaid for the number of shares held.

Projected Amount Unpaid Per Share

When entering the total amount unpaid this field will automatically show what the projected price unpaid per share is based on the total amount unpaid and number of shares.

Beneficially Held

If Yes:

The Shareholder owns the shares themselves.

If No:

Beneficial Owner Name

When the shares are held by a Shareholder on behalf of a Trust, Company or individual.

Certificate Number

If there was a certificate number issued for this transaction.

4. Once all of the above has been filled in select "Add Shareholder"

A confirmation message will appear advising the new Shareholder has been successfully added.

5. Refresh your web page and review the Member Holding Balance table to ensure there are no issues or discrepancies.

6. Navigate back to the Main Profile.

The Shareholder details should now be displayed.
