How do I set up User permissions?

Question

How can I update a User's permissions?

Answer

Note: Only User's with existing Administrator permissions can amend the permissions settings and add other administrators.

  1. Navigate to Menu > Portal > Portal Settings > Access
  2. Select and update the appropriate drop down or check box

Permission levels - Payment

The ability to view the "Invoices" menu item (Menu > Portal > Invoices) and proceed to payment.

  • Full: shows "Invoice" as a Menu Item and gives the ability to make payment.
  • View-only: shows "Invoice" as a Menu Item, however no ability to make a payment. The payment button is hidden.
  • None: no "Invoice" menu item and there is no ability to make a payment.

Permission levels - Documents

The ability to create documents from the documents page. 

  • Full: the ability to access and create all document tabs in the Menu, including "Create a Document", "Saved documents", "Completed documents", "E-signing".
    Note: Once completed, you have the ability to edit some documents once. 
  • Read-only: no ability to create a new document nor edit existing documents. Users can only access "Completed Documents" and "E-Signing".
  • Draft: the User has access to all the documents in the menu item. The User can save documents (by selecting "Save and Complete Later") but the option to "Complete" a document is disabled.
  • None: There is no access to Documents. The Documents menu is hidden. 

 

Permission levels - Corporate Messenger

The ability to use Corporate Messenger, including accessing your companies profiles, creating, and lodging forms ASIC forms. Includes the following menu items:  "Companies", "Lodgements","'Annual Statements", "Notification Center", and "ASIC Calendar".

  • Full: all functions are available.
  • Read-only: Only the User can access saved and completed forms. There is no ability to create and complete a form. The User cannot amend, lodge, forward or send a form.
  • Draft: the user can only save a form (by selecting "Save and Complete Later"). The "Complete" button is disabled. User cannot lodge, forward, or send a form.
  • None: The Corporate Messenger menu is hidden.

 

Permission levels - Trust Register

The ability to access the Trust Register.

  • Full: All functions are available.
  • Read-only: User can access saved and completed documents but have no ability to create and complete a document. User cannot amend, lodge, forward or send a document. No ability to edit the Trust Profile.
  • Draft: User can only save documents (by selecting "Save and Complete Later"). The "Complete" button is disabled. No ability to amend, forward or send a document.
  • None:  the Trust Register menu is hidden.

 

Permission levels - General Features

  • Full: Allows access to the below
  • None: Disables access to the below

The ability to access items not otherwise covered within the other option, including: 

  • Release Notes
  • Webinars
  • Strategic / Technical Support
  • Reminders and Outgoing Correspondence - (hidden from the menu if both Documents and Corporate Messenger access is set to 'None')

 

Permission levels - Is Admin

Selecting this checkbox Allows access to settings and well as the ability to add/remove other users/permissions.

Note: Some interaction with the NowInfinity Support Team may require contact to or from an administrator user. These will be advised at the time of request where such additional permissions are required.
